Terms and Conditions
When you sign up through our booking platform, you will be required to agree to Terms & Conditions which may vary slightly from the version below. Please read carefully and make sure you understand the Terms & Conditions before making a payment for the retreat. We are available if you have any questions.
TERMINOLOGY
- The terms “Flores del Camino“, “Flores”, “us”, “we” refer to the managers of Flores del Camino (Basia Goodwin and Bertrand Gamrowski), their employees, service providers, co-facilitators and, in general, any person collaborating with them.
- The “event” is the event organised by Flores that you are booking, e.g. a retreat, a pilgrimage or a combination of both.
- “You” refers to yourself and all the persons you register for the event.
- See Paragraph 14 for further terminology.
By paying a deposit, you agree to the terms and conditions contained in this document. Make sure to read them entirely and that you have understood them. Share the terms and conditions with all the persons you register and make sure that they have read and understood them.
1. CONDITIONS TO JOIN THE EVENT
1.1. You must be 18 years old or older.
1.2. You must have read, understood and accepted these terms and conditions in full.
1.3. You must ensure that you are physically fit for the event and the travel to and from the event. You can contact us if you have any doubt, bearing in mind that we do not provide medical advice and it is your sole responsibility to assess the risks and requirements of each aspect of the event, based on your own unique circumstances, limitations, fitness level, medical history, etc.
2. PAYMENTS MADE TO US
2.1. You will pay a non-refundable deposit when you book the event.
2.2. You will also make one or several payments at dates specified on our booking platform.
2.3. Payments made to us are usually non-refundable (see Paragraph 11).
2.4. If you do not make a payment on time, we may cancel your participation in the event and the payments you made previously would not be refunded.
3. FUTURE COMMUNICATION
3.1. Most of our communication with you until the start of the event will be via email. We will contact you from our email or via our booking platform. Please make sure that the email address(es) you provide to Flores are correct and take all the necessary steps so that our emails do not go to spam. We cannot be held responsible for the consequences of overlooked communication.
3.2. If you wish to contact us, it is best that you do it via email or via our booking platform. If you wish to talk to us over the phone or by video conference, unless it is urgent, it is best that you first book an appointment with us via email so that we make sure to be fully available and ready for you.
3.3. We may also contact you via phone. Please make sure that the phone number(s) you provide us are correct and to inform us if you get another number, for example once abroad.
3.4. For organisational reasons and for your own safety, you must be reachable by phone while in Spain, at the number you will have communicated to us, via voice call and via WhatsApp. You must ensure that you can use your phone via the mobile / cellular network in Spain, not just on WiFi spots.
4. MINIMUM NUMBER OF PARTICIPANTS
4.1. For each event, we determine a minimum number of participants required for the event to go ahead. If the event offer options, we may also determine a minimum number of participants for the option to go ahead.
4.2. Up to three months before the start date, if we do not reach the minimum number of participants required for the event, we may cancel the event and reimburse the payments you made to us but no other expenses you may have incurred.
4.2. In the case of an event including both an on-site retreat and a pilgrimage option, if we do not reach the minimum number of participants required for the pilgrimage, up to three months before the start date, we may cancel the pilgrimage, in which case you will remain signed up for the on-site retreat and your final payment will be reduced by the price of the pilgrimage option.
4.3. We will inform you via email if an event or an option is cancelled.
5. TRAVEL ARRANGEMENTS
5.1. You are responsible for the preparation and protection of your travel documents, including, but not limited to, passports and visas.
5.2. You must communicate with us as soon as possible if you cannot arrive on time at a specified pick up or check-in or experience travel issues on your way to the event. We may be able to help you find transport alternatives in Spain but you will have to cover the extra costs by yourself.
5.3. If a complimentary transportation service between Madrid airport and the retreat centre is included in the event, note that the pick up and drop off times are estimated based on normal traffic and the absence of any adverse event like a breakdown. Flores cannot be held responsible for unforeseen delays and their consequences.
5.4. Flores cannot accept any responsibility for the late arrival of flights or other modes of transportation and any delays that result in missing departures and in incurring additional expenses.
6. TRAVEL INSURANCE
6.1. Once you sign up, you must purchase travel insurance for the duration of the event and the travel to and from the event.
6.2. It is your responsibility to ensure that you are adequately insured for the full duration of the event and the travel, taking into account your own unique circumstances, limitations, fitness level, medical history, etc., with respect but no limited to illness, injury, death, third party liability, loss of personal items, repatriation, cancellation and curtailment.
6.3. You waive and shall not assert any claims or allegations of any nature whatsoever against Flores for any losses or costs related to inadequate or non‐existent travel insurance.
7. FOOD & ACCOMMODATION
7.1. During an on-site retreat, you will be accommodated in a bedroom with private bathroom. Your bedroom will be individual unless you request to share a bedroom with another participant. Your bedroom will be either at the retreat centre or in our nearby partner hotel of a similar standard (150 metres away).
7.2. During a pilgrimage, we will make our best efforts to keep the same standard of individual rooms with private bathrooms. However, it is possible that on some overnight stays, some participants may have to share a bedroom.
7.3. During an on-site retreat, we will make our best efforts to accommodate the dietary requirements you have communicated via our booking platform when you signed up. However we cannot guarantee that our food does not contain traces of allergens since all meals are prepared in the same kitchen. Please contact us if you have any doubt.
7.4. During a pilgrimage, we cannot guarantee that third-party restaurants, cafés and other establishments will be able to accommodate your dietary requirements.
8. GROUP PARTICIPATION & CONDUCT
8.1. For ease of communication in the group, shortly before and during the event, we will create a WhatsApp group. By joining this event, you accept to have your phone number disclosed to the other participants.
8.2. You understand that the event is as much a group experience as an individual experience, that it is a time of personal reflection and for encountering otherness in the group, as well as in the material presented, and that as such, it can be a spiritual, psychological and/or emotional experience. You agree to conduct yourself responsibly, welcoming the other and fostering freedom and safety. You will endeavour to engage in respectful conversation with yourself and all others. You will refrain from confrontational, argumentative discourse or from discussing political or politicised topics. During communal times, you will make sure not to monopolise speaking time and attention and remain considerate and aware of the other participants.
8.3. During an on-site retreat, in order to nurture a sense of community and awareness, we organise a schedule of light tasks where participants are asked to help with setting up the table, clearing plates and cutlery, etc. By joining this retreat you accept your participation in the schedule of tasks.
8.4. During and after the event, you will treat with care and confidentiality all the information shared by the participants and the facilitators, in particular when personal or sensitive. You will not disclose any such information to anyone, unless the other participant(s) specifically permit this sharing.
8.5. During the whole duration of the event, you will not consume illegal drugs and you also agree to not consume alcohol or other intoxicants to excess.
8.6. You will respect the posted times and activities listed on the itinerary so as not to keep the group waiting. You will make your own decision about any attendance and advise the event facilitators in advance if you are not attending an activity.
8.7. We may take photographs or videos during the event but only at appropriate and concerted moments and non-intrusively. We reserve the right to use these photographs or videos for promotional purposes in the future.
8.8. You will treat with courtesy and respect not only the members of our group but also all the persons we will come across during the event, including, but not limited to, drivers, waiters, fellow pilgrims.
8.9. If we consider that your behaviour is disruptive to the group experience, we reserve the right to cancel or curtail your participation to the event, at our own discretion and without making any reimbursement for the payments you made to us or other costs incurred.
9. INTELLECTUAL PROPERTY
9.1. All material taught and shared by Flores del Camino, including, but not limited to, geometrical constructions, original research and handout materials, is subject to copyright and may not be used by third parties without permission. You must seek permission to use our material in advance and if you get permission, you must always and each time duly credit us.
9.2. If the material was shared by Basia Goodwin or Bertrand Gamrowski, you must use the following language or a similar formula agreed to by us:

9.3. The other facilitators will indicate how they wish their material to be credited.
10. MODIFICATIONS TO THE EVENT
10.1. The provided event itinerary is representative of the actual event but changes in dates, accommodations, visits, activities may be necessary.
10.2. If a facilitator cannot attend the event, we may, at our own discretion, run the event without them or enlist another facilitator, and we may, as a result, need to adapt or change the program of the event.
10.3. Changes in the itinerary or the facilitators do not open rights to refund.
11. EVENT CANCELLATION, CURTAILMENT & REFUND POLICY
11.1. Cancellation by yourself. If you cancel your participation to the event, you should inform us as soon as possible. Payments already made to us are non-refundable. However, at our own discretion, we may offer you a discount for a future event. Alternatively, with our permission, you may be able to transfer your booking to someone else.
11.2. Curtailment by yourself. If you curtail your participation to the event, you will not be eligible for any refund nor will you be able to transfer your booking to anyone else.
11.3. Force majeure. “Force Majeure” is defined as an Act of God, war or war-like operations, mechanical breakdowns, terrorist activities or threat thereof, civil commotions, labor difficulties, interference by authorities, political disturbance, riot, insurrection and government restraint, fire, earthquake, extreme weather, government directives restricting travel, or similar directives, policies or restrictions, significant risks to human health such as the outbreak of serious disease, pandemic or epidemic, or any other cause whatsoever beyond the reasonable control of Flores, whether or not foreseeable, that would, individually and/or collectively, make the trip dangerous or not viable.
11.4. Cancellation by Flores due to force majeure. Prior to the start date, if we deem that the event is rendered inoperable by force majeure, we will cancel the event and, at our own discretion, either:
- postpone the event to a later date, or,
- offer you a credit equivalent to the payments you made to us that you can use for another event at a later date.
11.5. Curtailment by Flores due to force majeure. Once the event has started, if we deem that it is rendered inoperable by force majeure, we will curtail the event, make our best efforts to organise your transport back to Madrid airport in the force majeure context and offer you a credit that you can use for another event at a later date, calculated at our discretion, taking into account the amount of event time already passed as well as the non-refundable expenses we have engaged.
11.6. Cancellation by Flores for reasons other than force majeure. Prior to the start date, in the unlikely event that we have to cancel the event for reasons other than force majeure and the cancellation is not caused by your behaviour (clause 8.9.), your fault or negligence, you will have the choice of accepting from us either:
- a full refund of the payments you made to us, or,
- a credit for another event at a later date.
11.7. Curtailment by Flores for reasons other than force majeure. Once the event has started, in the unlikely event that we have to curtail the event for reasons other than force majeure and the curtailment is not caused by your behaviour (clause 8.9.), your fault or negligence, we will organise a transport back to Madrid airport, we will determine at our own discretion an eligible amount on a pro rata basis and you will have the choice of accepting from us either:
- a partial refund of your payments equal to the eligible amount, or,
- a credit equal to the eligible amount for another event at a later date.
11.8. Flores is not responsible for any incidental expenses or consequential losses that you may incur as a result of the cancelled or curtailed event including visas, non-refundable flights, rail fares, car parking or other fees, loss of earnings or loss of enjoyment. You will not be entitled to make any further claim for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience that may result from cancellation or curtailment (including but not limited to airline tickets, visa, passport, vaccination charges, airport, or airline taxes).
12. MEDICAL AUTHORISATION
12.1. An “authorised participant” is another participant who you authorise to direct emergency medical treatment for you if you are unable to do so, and whose name you have communicated to us and we have acknowledged it was communicated to us.
12.2 You authorise Flores to direct emergency medical treatment for you if neither you nor any authorised participant are able to do so.
12.3. Emergency medical treatment may include examination, medical diagnosis, surgery, treatment and/or hospital care.
13. WAIVER OF LIABILITY
We advise and you understand that travelling abroad and engaging in the activities offered in the event may involve unusual risks to you and the other participants. Those risks may include, among others, psychological anxiety, depression, internal conflict and other mental difficulties, along with dangers resulting from force majeure, geographic features such as high altitudes, extreme heat and humidity, or extreme cold. The foregoing is not an exhaustive list of risks that may arise but is illustrative of some types of risks that may be faced.
In exchange for Flores accepting your booking, you release, waive, discharge, hold harmless and agree to indemnify Flores del Camino from all rights, claims, actions or losses for personal injury, emotional trauma, property damage, wrongful death, loss of services and economic loss, as well as consequential, exemplary, indirect or punitive damages, or otherwise which may arise out of, or in connection with the event (including, without limitation, any extracurricular activities you may engage in during the event, whether or not sponsored by Flores).
14. OTHER TERMINOLOGY
- “Retreat centre” refers to Flores del Camino’s premises, situated at C/Real 36 - Castrillo de los Polvazares - 24718 - Spain.
- “On-site retreat” refers to the part(s) of the event during which we stay at the retreat centre.
- “Pilgrimage” refers to the part(s) of the event during which we stay in accommodation outside the retreat centre.
- “Our website” refers to www.floresdelcamino.com and, in particular, to the page on our website describing the event.
- “Our email” refers to our email address bg@floresdelcamino.com.
- “Our emails” refers to the communications we address to you from our email.
- “Our booking platform” is WeTravel, to which you will have been directed to book the event.
- “Booking the event” is also referred to as “signing up” or “registering”.
- “Joining the event” refers to your actual participation in the event.
- “The participants” refers to yourself and all the other persons joining the event.
- “The group” refers to both Flores and the participants.
