Flores Del Camino Retreat Centre ~ Terms and Conditions for Mini Pilgrimage Participants
Terminology
* The terms “Flores del Camino“, “Flores”, “us”, and “we” refer to the managers of Flores del Camino (Basia Goodwin and Bertrand Gamrowski), their employees, service providers, retreat or mini-pilgrimage facilitators and, in general, any person collaborating with them to provide retreats or mini-pilgrimages.
* “You” refers to you and all the persons you sign up for this mini-pilgrimage.
* “Our website” refers to www.floresdelcamino.com and, in particular, the page on our website describing the retreat you are booking.
* “Our email” refers to our email address bg@floresdelcamino.com
* “Our emails” refers to the communications we address to you from our email.
* “Our booking platform” is WeTravel, to which you will have been directed to book this mini-pilgrimage.
* “The mini-pilgrimage” is the mini-pilgrimage you are booking with Flores.
* “The retreat centre” refers to Flores del Camino’s premises, situated at C/Real 36 - Castrillo de los Polvazares ES 24718.
* “Booking the mini-pilgrimage” is also referred to as “signing up” or “registering”.
* “Joining the mini-pilgrimage” refers to your actual participation in the mini-pilgrimage.
* “The participants” refers to you and all the other persons joining the mini-pilgrimage.
* “The group” refers to both Flores and the participants.
By making a payment, you agree to the terms and conditions contained in this document. Please read them entirely and make sure you have understood them. Please make sure that you share the terms and conditions with all the persons you register, and that they have read and understood them.
1. Conditions to sign up for the mini-pilgrimage
1.1. You must be 18 years old or older.
1.2. You must have read, understood and accepted these terms and conditions.
1.3. You must ensure that you are physically fit for the journey and the mini-pilgrimage. You can contact us if you have any doubt, bearing in mind that we do not provide medical advice and it is your responsibility to assess the risks and requirements of each aspect of the mini-pilgrimage based on your own unique circumstances, limitations, fitness level and medical requirements.
1.4. You must have signed up for the “Awaken All-In-One Coach Certification Program - June 2025 - Spain”.
2. Payment
2.1. Your payment will be collected via our booking platform WeTravel.
3. Future communication
3.1. Some of our communication with you until the start of the mini-pilgrimage will be via the Awaken Coach Institute.
3.2. We may also contact you from our email. Please make sure that the email address(es) you provide are correct and take all the necessary steps so that our emails do not go to spam. Flores cannot be held responsible for the consequences of overlooked communication.
4. Conditions for your participation
4.1. Your participation is conditional to conditions 4.2., 4.3., 4.4. and 4.5. being met.
Condition 4.2. We have received your payment in full.
Condition 4.3. We will reach the minimum number of four participants required for the mini-pilgrimage to happen at the latest two months before the start date.
Condition 4.4. Flores manages to book your accommodation in every village where we stop for the night, given that we will do our best efforts.
4.5. If conditions 4.3. or 4.4 cannot be met, we would inform you as soon as possible. We would cancel your participation and we would reimburse the payments made to us.
4.6. We will inform you as soon as possible once conditions 4.2., 4.3. and 4.4. are met.
5. Travel arrangements
5.1. You are responsible for the preparation and protection of your travel documents, including, but not limited to, passports and visas.
5.2. There is a complimentary transportation service from Peñalba de Santiago to Madrid airport at the end of the mini-pilgrimage. Note that the drop-off time is estimated based on normal traffic and the absence of any adverse event like a breakdown. Please note that Flores cannot be held responsible for unforeseen delays and their consequences.
5.3. In general, Flores cannot accept any responsibility for the late arrival of flights or other modes of transportation and any delays that result in missing departures and in incurring additional expenses.
6. Travel insurance
6.1.We strongly recommend you purchase travel insurance. It is your responsibility to ensure that you are adequately insured for the full duration of the mini-pilgrimage in respect to illness, injury, death, loss of personal items, cancellation and curtailment.
6.2. You waive and shall not assert any claims or allegations of any nature whatsoever against Flores for any losses or costs related to inadequate or non‐existent travel insurance. Please review your travel insurance policy in detail.
7. Food and Accommodation
7.1. During the on-site retreat, you will be accommodated in a bedroom with private bathroom. Your bedroom will be individual unless you request to share a bedroom with another participant. Your bedroom will be either at the retreat centre or in our nearby partner hotel of a similar standard (150 metres away).
7.2. During the mini-pilgrimage, we will make our best efforts to keep the same standard of individual rooms with private bathrooms. However, it is possible that on some overnight stays, some participants may have to share a bedroom.
7.3. We will make our best efforts to accommodate your dietary requirements as they will be communicated to us. However we cannot guarantee that our food does not contain traces of allergens since all meals are prepared in the same kitchen. Please contact us if you have any doubt.
8. Group Participation and Conduct
8.1. For ease of communication in the group, shortly before and during the mini-pilgrimage, we will create a WhatsApp group. By joining this mini-pilgrimage, you accept to have your phone number disclosed to the other participants.
8.2. You understand that the mini-pilgrimage is as much a group experience as an individual experience, that it is a time of personal reflection and for encountering otherness in the group, as well as in the material presented, and that as such, it can be a spiritual, psychological and/or emotional experience. You agree to conduct yourself responsibly, welcoming the other and fostering freedom and safety. You will refrain from confrontational, argumentative discourse or from discussing political or politicised topics. During communal times, you will make sure not to monopolise speaking time and attention and remain considerate and aware of the other participants.
8.3. During and after the mini-pilgrimage, you will treat with care and confidentiality all the information shared in the group, in particular when personal or sensitive. You will not disclose any such information to anyone, unless the other participant(s) specifically permit this sharing.
8.4. During the whole duration of the mini-pilgrimage, you will not consume mind-altering drugs and you also agree to not consume alcohol or other intoxicants to excess.
8.5. We may take photographs or videos during the retreat but only at appropriate and concerted moments and non-intrusively. We reserve the right to use these photographs or videos for promotional purposes in the future.
9. Intellectual property
9.1. All material taught and shared by Flores del Camino, including, but not limited to, geometrical constructions, original research and handout materials, is subject to copyright and may not be used by you or any third party without our permission. You must seek our permission to use our material in advance and if you get permission, you must always and each time duly credit us.
9.2. If the material was shared by Basia Goodwin or Bertrand Gamrowski, you must use the following language or a similar formula agreed to by us:

9.3. The other facilitators (if any) will indicate how they wish their material to be credited.
10. Modifications to the mini-pilgrimage
The itinerary presented in the description is representative of the actual mini-pilgrimage but since it is determined many months in advance, changes in dates, accommodations, visits, activities may be necessary, for example, due to the weather or other circumstances. Changes in the itinerary do not open rights to refund.
11. Mini-pilgrimage cancellation, curtailment and refund policy
11.1. Cancellation by yourself. If you cancel your participation to the mini-pilgrimage, you should inform us as soon as possible. Payments already made to us are non-refundable. However, at our own discretion, we may offer you a discount for a future retreat or a mini-pilgrimage. Alternatively, with our permission, you may be able to transfer your booking to someone else.
11.2. Curtailment by yourself. If you curtail your participation to the mini-pilgrimage, you will not be eligible for any refund nor will you be able to transfer your booking to anyone else.
11.3. Force majeure events. “Force Majeure” is defined as an Act of God, war or war-like operations, mechanical breakdowns, terrorist activities or threat thereof, civil commotions, labor difficulties, interference by authorities, political disturbance, riot, insurrection and government restraint, fire, earthquake, extreme weather, government directives restricting travel, or similar directives, policies or restrictions, significant risks to human health such as the outbreak of serious disease, pandemic or epidemic, or any other cause whatsoever beyond the reasonable control of Flores, whether or not foreseeable, that would, individually and/or collectively, make the trip dangerous or not viable.
11.4. Cancellation by Flores due to force majeure. Prior to the start date, if we deem that the mini-pilgrimage is rendered inoperable by a force majeure event, we will cancel the mini-pilgrimage and, at our own discretion, either:
postpone the mini-pilgrimage to a later date, or,
offer you a credit equivalent to the payments you made to us that you can use for a retreat or a mini-pilgrimage at our retreat centre at a later date.
11.5. Curtailment by Flores due to force majeure. Once the mini-pilgrimage has started, if we deem that it is rendered inoperable by a force majeure event, we will curtail the mini-pilgrimage, make our best efforts to organise your transport back to Madrid airport in the force majeure context and offer you a credit, calculated at our discretion taking into account the amount of mini-pilgrimage time already passed as well as the non-refundable expenses we have engaged.
11.6. Cancellation by Flores for reasons other than force majeure. Prior to the start date, in the unlikely event that we have to cancel the mini-pilgrimage for reasons other than force majeure and the cancellation is not caused by your fault or negligence or the fault or negligence of a third party, you will have the choice of accepting from us either:
a full refund of the payments made to us, or,
a credit for a retreat or another mini-pilgrimage at a later date.
11.7. Curtailment by Flores for reasons other than force majeure. Once the mini-pilgrimage has started, in the unlikely event that we have to curtail the mini-pilgrimage for reasons other than force majeure and the curtailment is not caused by your fault or negligence or the fault or negligence of a third party, we will organise a transport back to Madrid airport, we will determine at our own discretion an eligible amount on a pro rata basis and you will have the choice of accepting from us either:
a partial refund equal to the eligible amount, or,
a credit equal to the eligible amount for a retreat or another mini-pilgrimage at a later date.
11.8. Besides the situations described in 4.5., 11.6., 11.7., payments made to us are non refundable.
11.9. Flores is not responsible for any incidental expenses or consequential losses that you may incur as a result of the cancelled or curtailed mini-pilgrimage including visas, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment. You will not be entitled to make any further claim for any injury, loss, expenses, or damage (either direct or consequential) or for any loss of time or inconvenience that may result from cancellation or curtailment (including but not limited to airline tickets, visa, passport, vaccination charges, airport, or airline taxes).
12. Medical authorisation
12.1. An “authorised participant” is another participant who you authorise to direct emergency medical treatment for you if you are unable to do so, and whose name you will have communicated to us.
12.2 You authorise Flores to direct emergency medical treatment for you if neither you nor any authorised participant are able to do so.
12.3. Emergency medical treatment may include examination, medical diagnosis, surgery, treatment and/or hospital care.
13. Waiver of liability
We advise and you understand that travelling abroad and engaging in the activities offered in the mini-pilgrimage may involve unusual risks to you and the other participants. Those risks may include, among others, psychological anxiety, depression, internal conflict and other mental difficulties, along with dangers resulting from force majeure events, geographic features such as high altitudes, extreme heat and humidity, or extreme cold. The foregoing is not an exhaustive list of risks that may arise but is illustrative of some types of risks that may be faced.
In exchange for Flores accepting your booking, you release, waive, discharge, hold harmless and agree to indemnify Flores del Camino from all rights, claims, actions or losses for personal injury, emotional trauma, property damage, wrongful death, loss of services and economic loss, as well as consequential, exemplary, indirect or punitive damages, or otherwise which may arise out of, or in connection with, the mini-pilgrimage (including, without limitation, any extracurricular activities you may engage in during the mini-pilgrimage, whether or not sponsored by Flores) unless caused by gross negligence.
